1. Agreement and scope

These Terms & Conditions apply to enquiries, reservations and vehicle hire services supplied by Melbourne Easy Rental, including passenger cars, SUVs, premium vehicles, commercial vans, loan cars and insurance replacement vehicles.

By submitting an enquiry, accepting a quote, making a payment or collecting a vehicle, you agree to follow these terms and the specific conditions provided for your booking.

2. Enquiries, quotes and bookings

• An enquiry is not a confirmed booking until Melbourne Easy Rental confirms the arrangement in writing.
• Quotes depend on the vehicle, dates, rental period, pickup location, availability and agreed inclusions.
• Vehicle model, year, colour and specifications are subject to availability unless specifically confirmed in writing.
• You must provide accurate contact details, dates, pickup information and intended use so we can assess the request correctly.
• A booking may be declined where the requested vehicle, dates or proposed use cannot be safely or reasonably accommodated.

3. Driver eligibility and authorised drivers

Every driver must meet the applicable licence, identification, age, payment and verification requirements explained before the booking is accepted. A current and valid driver licence must be provided when requested.

Only drivers approved for the booking may drive the vehicle. You must tell us about any additional driver before that person uses the vehicle. Additional conditions, fees or limits may apply.

4. Rates, payment, deposit and bond

The total price and payment schedule will be explained in the quote or booking confirmation. Depending on the arrangement, charges may include the rental rate, applicable taxes, delivery or pickup charges, optional products, damage or excess amounts, cleaning, refuelling, late return and other agreed costs.

A payment, deposit, bond or card authorisation may be required before or at collection. Any amount held or charged will be handled in accordance with the booking confirmation and applicable law. We will not represent an indicative quote as a final price where important booking details remain unconfirmed.

5. Vehicle availability and substitution

Our fleet may include Toyota Camry, Toyota Kluger, Haval, Volvo, Tesla, Mercedes-Benz, Renault Master and LDV vehicles, as well as other passenger cars, SUVs and vans. The exact vehicle depends on availability at the time of collection.

If the requested vehicle is unavailable, we will discuss an alternative, a revised arrangement or another available option where reasonably possible. No particular make, model or feature is guaranteed unless it is expressly confirmed in writing.

6. Collection, inspection and return

• Collection and return must take place at the agreed location and time unless another arrangement is confirmed.
• You should inspect the vehicle at collection and notify us promptly of any damage, warning light, missing item or concern not recorded in the condition report.
• The vehicle must be returned in the agreed condition, with the agreed fuel level and included items.
• Late return, unapproved location changes, excess cleaning, missing items, refuelling and transport or recovery costs may result in additional charges where permitted by the booking terms.
• Take reasonable photos or other records at collection and return where practical.

7. Acceptable vehicle use

You must use the vehicle carefully, lawfully and in accordance with road rules and the manufacturer’s instructions. Unless approved in writing, you must not:

• allow an unauthorised person to drive the vehicle;
• use the vehicle for racing, speed testing, off-road driving, towing or dangerous activity;
• use the vehicle for an unlawful purpose, commercial passenger service or sub-hire;
• carry more people, cargo or animals than the vehicle is designed or approved to carry; or
• modify, repair, sell, pledge, transfer or remove parts from the vehicle.

8. Damage, accidents, breakdowns and loss

Tell us as soon as reasonably possible about any accident, theft, damage, breakdown, warning light or mechanical problem. Contact emergency services or police where required, follow reasonable safety instructions and do not admit liability or arrange repairs without approval unless immediate action is necessary for safety.

You may be responsible for loss, damage, recovery, cleaning or related costs to the extent set out in your booking agreement and permitted by law. Any applicable excess, protection or liability arrangement will be explained before acceptance of the booking.

9. Changes, cancellation and refunds

Requests to change dates, vehicle type, rental period or pickup location must be made as early as possible. Changes depend on availability and may change the quoted price.

Cancellation, refund, credit and no-show conditions will be stated in the applicable quote, booking confirmation or rental agreement. Nothing in these terms removes any refund, remedy or other right that cannot lawfully be excluded or restricted.

10. Loan cars and insurance replacement vehicles

Loan-car and insurance replacement vehicle arrangements may require repairer, insurer or claim approval and remain subject to vehicle availability. You must provide accurate repair, claim and contact information and follow any conditions attached to the approved arrangement.

Melbourne Easy Rental does not guarantee approval by an insurer, repairer or other third party. Any amount not approved or paid by that party may remain your responsibility where the booking or applicable law allows.

11. Privacy and communications

We use the information you provide to respond to enquiries, assess availability, arrange bookings, communicate important rental information and manage our services. We may contact you by phone or email about your enquiry or booking.

Please do not send sensitive information through a general enquiry form unless it is necessary and requested. Further information about data handling can be provided through our privacy information.

12. Consumer rights and liability

Nothing in these terms is intended to exclude, restrict or modify any rights or remedies available under applicable consumer protection law, including the Australian Consumer Law where it applies.

To the extent permitted by law, the applicable booking terms will explain any limits, exclusions, insurance arrangements or customer responsibilities that apply to the particular rental.

13. Changes and governing law

We may update these website terms when our services, processes or legal obligations change. The terms applying to a confirmed booking are the terms provided for that booking, subject to any rights that cannot lawfully be changed.

These terms are intended to operate in Victoria, Australia, unless the applicable booking agreement or law requires otherwise.
